Giving users access to client files

Before an MYOB Practice user can view the details of an MYOB AccountRight, MYOB Essentials or MYOB Business client file, the Practice administrator needs to give the user access to the file.

Give a user access to a file

The steps you'll follow below depend on the file. If you have an MYOB Essentials file that was created in April 2020 or later, it will be the new version. Any MYOB Essentials files from before that time will be MYOB Essentials (old).

These steps are for accessing online files in the latest AccountRight version. If the file isn't online, see Add a user to an offline file.

Before you begin

First, check that you have permission to manage online file access. If you can't see the Manage online file access area of my.MYOB, talk to your administrator about getting permission. Second, check in the file (MYOB AccountRight > Users) to make sure your practice has an advisor who is:

If you don't have an advisor for a file, all the practice users with access to the file will be individually listed and visible to your client. To add an advisor, you'll need to be the owner of the file. The file owner is typically the person who set up the file and will be a practice user or the client.

  1. Log in to my.myob.com.

  2. Go to My account Manage online file access.

    If you can't see the Manage online file access area, talk to your administrator about getting permission.

  3. Select the file, select the employees who should have access to the file, and click Update

    The update may take some time to process.

You may be able to use this feature before it's announced on the What's new page if you're on the Early Access Program (EAP). If you're an EAP user, we'll contact you directly.

You'll have access to method 1 – Choose a file and give users access – before methods 1 and 2 are released for general availability.

If you have the Practice administrator or Manage Online File Access permission, you may want to give an MYOB Practice user access to an MYOB AccountRight, MYOB Essentials or MYOB Business client file so the user can work on the file.

There are a couple of methods you can use to give users file access. The best method depends on your scenario.

  • Method 1 – Choose a file and give one or more users access. Useful if you have a new file and you want multiple users to work on it.

  • Method 2 – Choose a user and give them one or more files to access. Useful if you have a new user and you want them to work on multiple files.

In MYOB Practice, a user with the Manage Online File Access permission can see all client files in the Manage file access settings and can give any user access to the file, including files belonging to restricted clients.

Practice administrators can also see all client files, including files belonging to restricted clients.

Method 1 – Choose a file and give users access

Before you begin, make sure you've added the users to MYOB Practice.

  1. On the left of MYOB Practice, click Settings (the cog) and choose Manage file access.

  2. Click the file you want to give users access to.

  3. Click Manage access (the person icon), select the users you want to access the file and click Save.

      You can quickly select all users by selecting the checkbox next to the Users column header.

      If you see a greyed-out user, it means they either are the file owner or accepted a client's invitation to access the file as an advisor. The user's greyed out so that the client's invitation can't be removed through MYOB Practice without consulting the client. If required, the client would need to remove access through MYOB Business.

Method 2 – Choose a user and give them access to files

Before you begin, make sure you've added the users to MYOB Practice.

  1. On the left of MYOB Practice, click Settings (the cog) and choose Users.

  2. Click the user you want to give file access to.

  3. In the File access section, click the arrow.

  4. Click Edit (the pen icon), select the files you want the user to access and click Save.

      You can quickly select all files by selecting the checkbox next to the File name column header.

Other ways users can get access to a client file

Alternatively to a Practice administrator giving a user access:

If a client invites a user, the user has Administrator access to the file. Alternatively, if the Practice administrator gives the user file access in MYOB Practice, the user has File user access.
