Online payment reports and insights

From 1 October 2026, changes to surcharging will affect how you manage fees on invoices paid via online payments. More about the RBA surcharge changes

Once you're using online payments, you can see details of the payments you've received and fees you've paid. You can also get insights into your online payments to understand more about how your customers are paying.

Transaction details

The Transaction details report summarises invoices and their settlement status. It also shows details of payments deposited into your bank account to help you reconcile them.

  1. Go to the Reporting menu > Reports Online invoice payments tab.

  2. Click to open the Transaction details report.

  3. Set the filters you need:

    1. Status – choose Settled money, Processing or Cancelled payments

    2. Date type – choose Settled date or issued date then specify a date range using the From and To dates

    3. Search by – choose Total amountInvoice number or Invoice amount then enter Search text

      If you're using a vertical display, click More filters to search.

  4. Click Apply filters to show the filtered results.

Understand transaction details

  • Settled date – shows the date the money was settled into your bank account

  • Transaction reference – the transaction reference number that will show on the transaction in your bank statement. This reference number will also show on the bank feed transaction if you use bank feeds

  • Invoice amount ($) – the total value of all invoices in the settlement. For multiple invoices, this is the bulk-payment total. This amount does not include the fees

  • Fees incl. GST ($) – the payment fees for the invoice or invoices

  • Surcharge incl. GST ($) – the surcharge paid by the customer, if applicable

  • Total received – the amount deposited into your bank account after payment fees are deducted

  • Invoice number – the invoices that are included in the settlement transaction. If multiple invoices are listed this is considered a bulk payment

  • Customer – the customer who made the payment

  • Issued date – the date the invoice was issued to the customer

  • Payment type – the payment type used by the customer. This can be Credit card or BPAY

  • Amount ($) – the amount for the individual invoice or payment line, excluding fees

  • Status – the status of the invoice, e.g. Settled money, Processing

Export transaction details

Click Export, then choose Excel spreadsheet or PDF. When exporting to PDF, you can choose a PDF style template.

If the Excel file opens in Protected View, select Enable Editing. Otherwise, the calculated report totals won’t appear.

View monthly fee statements

A monthly statement summarises the fees for your online payments and helps you track and account for these costs. After 12 months of using online payments, you can access a rolling 12 months of statements.

  1. Go to the Reporting menu > Reports Online invoice payments tab.

  2. Click to open the Transaction statements report.

  3. Click a month to open a PDF statement for that month.

Get insights into your online payments

When viewing the above online payment reports, use the Insights tab to see a summary of your online payment activity. This information can help you understand how your customers are paying and how online payments are working for your business.

  1. Go to settings menu (⚙️) > Sales settings > Payments tab > Edit preferences.

  2. Click the Insights tab.

  3. Choose a date range to view your payment activity for that period.

Insights opens with Last financial year selected. When you choose a different date range, the figures refresh for that period.

What the Insights tab shows

  • the total value of invoices paid through online payments

  • the number of invoices created with an online payment option

  • the number of invoices paid through online payments

Recent payment activity may take up to one day to appear in Insights.

For individual payments, settlement status and payment fees, use the Transaction details and Transaction statements reports.

  2. Click the Sales tab.

  3. In the Online payments section, click View reports then click Display Report. The report displays in a web browser.

  4. On the Reports page, click Transaction details to open the Transaction details report.

  5. Set the filters you need:

    1. Status – choose Settled money, Processing or Cancelled payments

    2. Date type – choose Settled date or issued date then specify a date range using the From and To dates

    3. Search by – choose Total amountInvoice number or Invoice amount then enter Search text

  6. Click Apply filters to show the filtered results.

Understand transaction details

The Transaction Description will appear in your bank feed description (or if you reconcile manually, in the bank statement) and in the bank deposit memo to help you identify your online payments when you're Reconciling your bank accounts.
