Client setup and maintenance

Client records are the foundation of MYOB Practice Management. Time capture, billing, reporting and your integrations all depend on how they're set up.

The records you'll work with

  • Clients are the entities you provide services to, such as companies, individuals and trusts.

  • Contacts are the people who receive things from you, including invoices, statements and documents sent through integrations. They're usually individuals, and one person can be a contact for several clients.

  • Roleplayers are records for people connected to a client who aren't clients themselves, such as a director. If you use AE/AO, these are known as contacts.

  • Groups connect a head entity to its related entities so you can report on WIP and debtors across the whole group. These are family groups in AE/AO.

Get the order right

Set up your groups before you start creating clients. To save time, attach a client to a group as you create the record.

When you add a client:

  • Set the Date Opened to be the day before the earliest date you want to record time against. You can't capture time for a date before the client was opened.

  • Enter email and phone details for an individual client before you save. When you save a client, a contact is also created for that individual with these details.
